A folder called "Receipts" with 400 files named IMG_4471.jpg proves nothing in an audit. The same folder with the date, vendor, and amount in every file name proves everything.
A Google Drive folder is a legitimate HSA receipt system. The IRS does not care where the receipt lives. It cares that you can produce it. It has to show what was bought and paid, and match the reimbursement you took.
This post is the folder structure and the naming rule that make Drive work. Then the three places it breaks, and how to close them.
The Folder Structure
One folder per HSA. One subfolder per year. Nothing deeper.

The year is the year of service, not the year you reimbursed. A December 2026 dentist visit paid in January 2027 goes in 2026. That is the date the IRS will match against your HSA.
Do not sort by category or by family member. A category folder forces a decision at filing time and a search at audit time. The file name carries that information instead.
The Naming Rule
Every file gets the same shape. Date, vendor, amount, patient.

Four rules make this hold up:
- ●Date first, in year-month-day order. Sort the folder by name and it becomes a timeline.
- ●Amount is the eligible amount, not the receipt total. A $312 Costco run with $41.20 of eligible items is named 41.20.
- ●Patient, because an HSA covers a spouse and dependents. "household" is fine for shared items.
- ●No spaces. Underscores and hyphens survive every export and every operating system.
If a receipt covers two patients or two service dates, save it twice with two names. A duplicate file costs nothing. Ambiguity does.
The Ledger Next to It
A folder of receipts is half the record. The other half is a list that says which receipts you have reimbursed and when.
Keep a single spreadsheet in the same folder. One row per receipt. Six columns:

The "reimbursed on" column is the one that matters in an audit. An HSA withdrawal has to match a receipt that has not already been reimbursed. Without the column, you cannot prove that.
Where Drive Breaks
1. Getting the receipt into the folder. A receipt in your pocket is not in Drive. The gap between the register and the folder is where receipts get lost.
Scanning from your phone closes part of it. The scan still needs a name, and the ledger still needs a row.
2. The ledger and the folder drift apart. A receipt gets added and the row does not. A reimbursement gets taken and the column does not. Two systems that depend on each other, with a human in between.
3. Thermal receipts can fade before you scan them. A paper receipt that sits in a hot car for a season can come out blank. Drive cannot back up what is already gone.
Closing the Gaps With Tripl
Tripl is an HSA receipt tracker that keeps Drive in the picture and removes the human in between.
Connect Google Drive in Settings under Receipt Backup. Every receipt you add to Tripl is copied to your Drive. It lands in a "Tripl Receipts" folder, or a folder you pick.
Backup files are named by date and description, like 2026-03-15_Dentist.jpg. That is shorter than the manual rule above. The amount and the patient live in the app, attached to the same receipt. You can connect Dropbox at the same time for a second copy.
The ledger is built in. Tripl reads the date, the amount, the category, and the description from the photo. It tracks which receipts have been reimbursed and which have not.
When you take money out of the HSA, enter the amount. Tripl applies it to your unreimbursed receipts, oldest first. You review the allocation before it saves.
Tripl only gets a limited permission on your Drive. It sees files it created or files you pick. It cannot see the rest.
Disconnect at any time and the files stay in your Drive. Tripl never deletes them.
Already have a folder of receipt photos? The same settings card has an import picker. Select the receipts and Tripl parses each one like a normal receipt.
Tripl is $30 per year for the first 100 sign-ups. After that, $50 a year.

The Drive folder is the part you keep either way. It is your copy, in your account, under your name.
